University Email After Deregistration: What Happens to Your Accounts

Deregistration usually ends access to your university email address and licences. What exactly happens is decided by each university, so act before your status ends.

Anyone who is deregistered usually loses not only student status but also access to many services that run through the university. This often includes the university email address, but also licences for office packages, databases and software. Each university sets its own rules on exactly what happens, so it is worth checking the documents before your status ends.

Short answer: After deregistration, your right to use the university email address and the licences obtained through the university usually ends. The university decides when accounts are blocked, deleted or only restricted. Back up your data and switch login addresses before the end. Stand: October 2026.

The most important points at a glance

  • The university email address is tied to your student status. When enrolment ends, access expires under your university’s rules.
  • University licences such as web-based office apps or campus licences for software usually end with your enrolment or the university agreement.
  • How long accounts keep running after the end is set out in your university’s regulations or can be asked at the IT service desk.
  • Back up your own files before the end and change login addresses for third-party services to a private address.
  • You can request information about which data the university has stored about you under Article 15 of the General Data Protection Regulation (Datenschutz-Grundverordnung, DSGVO).

What happens to your university email after deregistration?

The university determines whether and for how long your account continues after the end. It is often deactivated on a set date, sometimes with a short grace period in which you can still download data. Some universities offer graduates limited access, others do not. These details differ from university to university, so the answer from your university’s IT service is the binding one.

A specific question works better than a general request. For example, ask: On which exact date does my account end, is there a grace period, and which services depend on my university address? With these three answers you can plan the rest of the preparation without guessing.

Which licences depend on your student status?

Many universities provide software through campus licences or university agreements. One example is Microsoft 365 A1 for educational institutions. The web-based Office apps are available free of charge with a university email address, as long as you are enrolled. According to Microsoft, after that only read access to documents remains possible, and OneDrive no longer works. If you have stored work exclusively there, download it beforehand.

Campus licences for software such as MATLAB also end under the university agreement. Whether you may continue to use the software afterwards is stated in your university’s terms. You will find an overview of typical campus licences in the guide Campus licences: which software your university provides.

How do you secure your data before the end?

Plan for the end at least four weeks in advance. The following order works well in practice.

  1. Ask the IT service desk or the student office when your access ends and whether there is a grace period.
  2. Download files, emails and attachments from university storage and keep copies in your own storage.
  3. List all services where your university email is stored as a login or contact address.
  4. Change login addresses to a private email address before your status ends.
  5. Note your licences and renewal rules so you do not miss the end.

Services from third-party providers can also depend on the university email address, for example Notion. The provider itself sets the conditions for education offers there, and they have not been checked here. If you lose your university email, you should therefore switch the account to a private address in time and check the content.

Can you view and have your data deleted by the university?

Yes. Under Article 15 of the GDPR, you can ask the university for information about which personal data it processes about you. A right to erasure under Article 17 exists when the data is no longer needed for its purpose. However, the university may keep records if legal obligations require it, for example records relating to examinations. The exact periods are set by the university and state law. Make your request in writing and contact the university’s data protection officer if you have questions.

What if you move to another university?

Accounts and licences are tied to the respective university. When you change, you usually receive new access there, which is often only activated after enrolment. A gap can therefore arise during the transition. Clarify with both universities whether the old access remains after the change. Frequently asked questions

Can I still access my university email after deregistration?

That depends on your university. Many universities deactivate the account on a fixed date, and some grant a grace period. Ask the IT service desk before you assume that access will still work.

Will my university email address be deleted?

Often an account is first deactivated and deleted later. Whether and when this happens is decided by the university. Important services and contacts should therefore not depend on this address.

Do I have to uninstall software after deregistration?

That depends on the licence terms of your university. Some agreements require programmes to be removed after the end, others contain no such obligation. Check the terms beforehand so you do not unintentionally break the usage rules.

Can I keep documents from the university storage?

Only as long as access exists. Therefore secure files on your own storage in time. You may take your own texts and drafts with you. Confidential data, research data or materials from university projects should only be taken if the university permits it.

Can I have my emails forwarded to a private address?

Forwarding only works as long as access exists. Set it up early and ask the IT service desk whether it is technically possible. Inform important senders, such as employers, practices, landlords or chairs, about your new address in good time so that nothing gets lost afterwards.

Does this also apply to my thesis?

You are the author of the thesis, but the submission platform does not belong to you. If you later need the thesis for applications or publications, create your own copy. The officially submitted version remains with the university.

How to proceed now

  1. Clarify the date: ask the IT service desk when your account ends and whether a grace period applies.
  2. Secure your data: download files and important emails and keep copies in your own storage.
  3. Switch logins: change the email address for services and licences to a private address.
  4. Check your data: if you want to know which data is stored, submit a request under Article 15 GDPR.
