If you are starting your first job, you will soon be asked for your social insurance number. Your employer needs it to register you with social insurance, to produce your payslip and to pay contributions. This guide explains what has applied since the change from the social insurance card (in German: Sozialversicherungsausweis), what the pension insurance number (Rentenversicherungsnummer) is and what to do if you cannot find yours.

In short: Since 1 January 2023, the insurance number certificate (in German: Versicherungsnummernachweis) has replaced the social insurance card. It contains your insurance number, which is often called the pension insurance number in everyday use. Social insurance cards issued earlier remain valid (as of January 2023, Deutsche Rentenversicherung, the German pension insurance body).

The most important points in brief

  • Since 1 January 2023, the insurance number certificate has replaced the social insurance card.
  • Your insurance number links your contributions and pension entitlements to you personally.
  • Earlier social insurance cards remain valid and do not need to be exchanged.
  • Your employer needs the number to register you with social insurance.
  • If you cannot find it, it is usually printed on an earlier payslip or on the insurance number certificate.

What does the insurance number certificate contain?

Deutsche Rentenversicherung (DRV, the German statutory pension insurance) announced the change on 11 January 2023. According to that announcement, the certificate shows your insurance number, first names, family name, birth name and the date of issue. The announcement does not name the issuing body explicitly, so the table below only lists the entries themselves.

Pension insurance number or insurance number: are they the same?

In everyday conversation both terms are used interchangeably. The DRV announcement itself speaks of the insurance number, which is the number under which your periods of insurance are recorded. Do not confuse it with your tax identification number (in German: Steuer-Identifikationsnummer). That is a separate number under section 139b of the German Fiscal Code (Abgabenordnung), and it has nothing to do with your social insurance contributions. Keeping the two apart already matters when you first see a payslip.

How to find your number

Most people find their number without much effort. This order has proven useful:

  1. Check your payslip first. The insurance number is usually shown there.
  2. If you worked before, for example as a working student, look for your insurance number certificate or an older social insurance card.
  3. Check that your name and date of birth match your identity card. Report any differences to your employer.
  4. If you still cannot find the number, ask Deutsche Rentenversicherung. They can also tell you which insurance periods are already recorded.

Give the number only to bodies that actually need it, such as your employer, your health insurer or the pension insurance. If a form asks for it without a clear reason, check who collects it and why.

Why your employer needs the number

Your employer registers you with social insurance. For this, it uses your insurance number so that contributions to health, long-term care, pension and unemployment insurance are assigned to the right account. If the number is missing or wrong, contributions and insurance periods cannot be assigned cleanly, and fixing that takes time and paperwork. A short look at your first payslip is therefore worthwhile.

The number stays the same when you change employers. If your name changes, for example after marriage, tell your employer so that the details on the payslip match your documents.

Common mistakes on the first payslip

The first payslip often reveals the same few problems. For example, a new employee copies the number from an old card and swaps two digits. A check of the first monthly payslip would have shown the error at once. These points are worth checking:

  • The insurance number and the tax identification number are different. Make sure the correct one appears on the payslip.
  • Names match your identity card, including spelling, umlauts and hyphens.
  • After a marriage or name change, family name and birth name are stored correctly.
  • Your address in the personnel records is up to date, so that letters reach you.

Frequently asked questions

Do I still need to apply for a social insurance card?

No. Since the change at the start of 2023, the insurance number certificate is issued instead of the social insurance card. If you already have an insurance number certificate, you do not need to apply for anything new.

Is my old social insurance card still valid?

Yes. Deutsche Rentenversicherung has confirmed that all social insurance cards issued so far remain valid. You do not have to exchange them.

Do I need the number for a mini job as a student?

Yes. For any job subject to social insurance, your employer needs the number for registration. Whether pension contributions apply depends on the type and scope of the job. The guide on pension insurance for students explains the details for working students.

What if my employer has stored the number incorrectly?

Check the payslip and report the error to the personnel department in writing. Keep the documents that show the correct number. If there is a dispute about pension periods, Deutsche Rentenversicherung is the responsible body.

Is the insurance number confidential?

It is not a password, but you should not publish it openly. Together with your name and date of birth it could be misused for identity theft. Give it only to bodies that need it for contribution or pension matters.

What to do now

  1. Have your identity card and your payroll documents ready.
  2. Compare the number on your payslip with your insurance number certificate.
  3. Report any differences promptly and in writing to the personnel department.
  4. Clarify questions about recorded insurance periods with Deutsche Rentenversicherung.
