A university application rarely fails because of a big hurdle. More often a document is missing, a deadline is overlooked or a test date comes too late. This checklist summarises which documents are typically needed, which deadlines to keep in view and the order in which to proceed. It does not replace the information of your own university, but it prepares you for it.
Short answer: A university application usually requires the higher education entrance qualification, possibly an admission or aptitude certificate, and compliance with every deadline at each university. For restricted subjects, procedural steps such as tests or portfolios are added. At the University of Bielefeld, enrolment runs entirely online. Last updated: November 2026.
The most important points at a glance
- Each university sets its own documents and deadlines. The checklist is therefore a framework that you fill in with the details of your programme.
- Missing proofs are the most common cause of delay. Store all documents digitally early, before the deadline comes closer.
- For aptitude tests or portfolios, preparation can start well before the application deadline. The leaflet of the Federal Employment Agency mentions March for some of these.
- At enrolment, the deadline in the admission notice counts. An upload after the deadline is not processed.
- Applicants with foreign qualifications often turn to uni-assist for a bachelor’s programme.
Which documents do I need for the application?
The table below lists the documents that typically appear in admission procedures. Whether you need them depends on the programme. Check each item against the admission regulations and the information of your preferred university before you submit it.
| Document | Used for | Note |
|---|---|---|
| Higher education entrance qualification (school leaving certificate or equivalent) | Basic requirement for every university application | Foreign qualifications follow a separate check, often through uni-assist |
| Admission notice or application confirmation | Proof of application and basis for enrolment | Keep it safe and note the enrolment deadline |
| Proof of an aptitude test or portfolio | Programmes with an aptitude procedure | Dates can fall early in the year, in some cases from March |
| Aptitude test certificate | Component of the procedure, for example in psychology | Example University of Kassel (psychology): validity recommended for at least five years, for your programme the statement of your university applies |
| Language certificate or motivation letter | Only where the programme requires it | Check the requirements for each programme |
Which deadlines must I keep in view?
Deadlines differ by type of higher education institution, programme and semester. An undated leaflet of the Federal Employment Agency gives 15 July as an example for the winter semester at universities of applied sciences and restricted universities. Which deadline applies in your academic year is set by the university or the relevant admission procedure. Read it there for the winter semester 2027/28 and do not plan with the date from the leaflet.
Enrolment often runs in its own window. The University of Bielefeld gives enrolment for the bachelor’s programme without restriction as 16 July to 15 November 2026 for the winter semester 2026/27, and 16 January to 15 May 2027 for the summer semester 2027. These dates apply to Bielefeld and serve only as an example. At your university, the admission notice is what counts.
| Point in time | What to do | Example from the source |
|---|---|---|
| Early in the year | Clarify aptitude tests, portfolios and test dates | In some cases from March, according to the leaflet |
| Application deadline | Submit the application for each university on time | Varies by university |
| After admission | Note the enrolment deadline from the notice | Bielefeld: enrolment until 15 November for the winter semester 2026/27 in the bachelor’s programme without restriction |
How does enrolment work?
The University of Bielefeld describes enrolment as a fully digital online enrolment. Enrolment and the upload of documents must both be completed within the enrolment deadline. For the bachelor’s programme, all enrolment documents must be uploaded on time and in full, and incomplete uploads are not processed.
According to Bielefeld, anyone who wants to withdraw an enrolment before semester fees have been paid can do so in writing to the student registration office, not by telephone. Fees already paid are refunded only proportionately and under certain conditions. Keeping the process sorted in a folder or digitally helps when questions arise later.
What happens if I miss a deadline?
The consequences depend on the step. For enrolment, according to Bielefeld, the admission notice loses its validity if the deadline is missed. Enrolment in the relevant subject is then no longer possible. Check the rules of your university for application deadlines as well, because follow-up procedures and exceptions are regulated differently depending on the procedure.
How do I prepare the documents step by step?
Start with an inventory. Which documents do you already hold as originals, which exist only as copies and which must you request first? Schools, offices and test providers often need weeks before they issue a proof. Anyone who checks this early avoids bottlenecks in the week before a deadline.
Afterwards a filing system that also works under time pressure pays off. Save each file with a name, document type and date, for example as certificate or notice with the year. Scans should be legible and complete, with all pages. Also check which file format and size the portal requires, because an upload can fail on a file that is too large.
Restricted subjects add procedural steps that have their own dates. These include aptitude tests, portfolios or test registrations. Note these dates separately from application deadlines, because they often fall earlier. Anyone considering the test in psychology will find the weighting in the guide on studying psychology.
Finally, look at communication with the university. Note the contact persons, telephone numbers and email addresses of the student registration office or study advice service. Keep confirmation emails, because they document receipt and timing. If you have to follow up, a message with the programme, application number and date speeds up processing considerably.
Frequently asked questions
Do I have to upload all documents with the application?
It depends on the university. Some procedures require documents only at enrolment, others already with the application. The admission regulations and the application area of the portal show which proofs are due when.
What applies to a foreign school leaving certificate?
For a bachelor’s programme, the University of Bielefeld refers to uni-assist. For master’s programmes and doctorates, according to Bielefeld, you apply directly to the university. Check the requirements early, because recognition can take time.
Is a simple copy enough?
Certified or official documents are often required for enrolment. Whether a plain copy suffices is decided by the university. Read the details in the admission notice and in the enrolment regulations.
What happens with an aptitude test in spring?
The Federal Employment Agency notes in its leaflet that aptitude tests or portfolios may be required from March in some cases. Plan with your own deadline ahead of the general application deadline and agree the dates with the university.
How much time should I plan for the application?
There is no fixed number. Plan enough time to obtain documents, because proofs often come from schools, offices or test providers and are not available at once.
What to do now
- Create a table with all universities, programmes, deadlines and documents.
- Obtain missing proofs early and store each file digitally under a clear name.
- Check the admission regulations of your programme for aptitude procedures, tests and portfolios.
- After each offer, note the enrolment deadline and upload all documents in time.
